How to properly set up and schedule and AOI meeting.


How to Schedule an AOI Meeting in Rm 205

Instructions

1.      Before scheduling with AOI (formerly AMS), please send your meeting request to the Town.Centre.205 conference room in Outlook to ensure you reserve the room.
2.     Navigate to the AOI Meeting Request Form at https://apps.aoi.wsu.edu/vc/meetingrequest.aspx
3.     Enter a short description of the meeting title in the conference name field.


4.     Select the date and time for your first meeting by selecting the date on the calendar and entering the start and end time.


5.     Click “Add This Date/Time”.


6.     The selected date and time will populate on the right side. You may repeat steps 4-6 as many times as needed to add more dates.


7.     Fill your name, phone number, email address, college, and department under the requestor information section.


8.     Select WSU Pullman as the hosting site.


9.     For the requested room, enter Town Center 205.
10.  Enter a participant name, email and phone for someone who will be attending the meeting. If you will be attending, you may enter your own information.
11.  Enter an estimated number of participants that will join from this location.
12.  From the dropdown on the right, select the Receiving Site you would like to have a conference with.


13.  Enter the contact information for a participant that will be joining from the remote location to serve as a point of contact in case coordination is necessary.
14.  Enter an estimated participant count from this location.
15.  Click Add this Site.
16.  The site will be added to the receiving site list. You may repeat steps 12-14 to add additional sites.


17.  Leave the continuous presence as no unless you need to see all participants at the same time and are NOT going to show slides or other content.


18.  Decide if you need the meeting videostreamed to the web. This is a cost item and is normally not needed.


19.  Click on Submit Form to finalize your request.


20.  Once submitted, you will receive an email confirmation and the request is sent to the AOI organizers. AOI will schedule the meeting and send you dial in information. They also normally send this to the AMS contact for the remote site(s) (IE: Spokane or Vancouver).
21.  The remote sites then schedule an available AMS and send it to the remote attendee’s information you input into the form.
