Summary

The following document will walk you through installation and use of the Zoom plugin for Microsoft Outlook. This process is tested as working on Outlook 2016 and may also be compatible with similar versions.

Instructions

Step One:

 

Navigate to https://zoom.us/download#client_4meeting and look for the section entitled Zoom Plugin for Microsoft Outlook, when located click Download.

 

Step Two:

 

Close Outlook and open the download and follow the installation wizard to install the plugin. The wizard will walk you through all necessary steps to complete the install of the Zoom Outlook Plugin.

Step Three:

 

After reopening Outlook you will notice two new icons visible in your Home toolbar (in the email our calendar window). These buttons are Schedule a Meeting and Start Instant Meeting. Schedule a Meeting allows you to schedule meetings for the future and invite participants, Zoom will automatically fill in the connection information (more detail on this below). Start Instant Meeting will give you a direct connect code to quick connect for other participants for impromptu discussions or online meetings that were not scheduled in advance.

 

Step Four:

 

When selecting Schedule a Meeting, Zoom will pop up a dialog box that allows you to set various meeting options. You can select who has video available to them, dial-in options (Telephone only, Computer Audio Only, or Telephone and Computer Audio), as well as set password requirements and other options in the Meeting Options section. Once the settings are set to your satisfaction, select Continue and Zoom will automatically fill in the required information to an Outlook meeting dialog.

 

Step Five:

 

Zoom will automatically fill out the required information for all parties for joining via phone (if selected), computer (if selected), or conferencing unit. In the To field on this screen you should add all required participants. When this is complete, hit send. The Zoom information will be sent off to each invited party and your meeting is ready to take place at the selected date and time.
